EPIC EHR Shared Patient List System for Trauma & Orthopaedics – Re-Audit
Background
Why this project was needed
An initial audit of the eTrauma patient tracking system at PRUH identified significant operational inefficiencies in the T&O department. Key problems included: mandatory manual patient location updates requiring 5–6 clicks and EPIC access each time; no automatic location tracking causing patients to be frequently missed; no integration with investigation results including blood tests; and substantial daily time costs — staff spent 15–30 minutes per day on manual updates, equating to over 60 hours per clinician annually. The initial audit found that 60% of staff experienced location errors three or more times per week, 26.7% reported daily errors, and 66.7% experienced care delays attributable to system issues. In response, a QIP introduced EPIC-native shared patient lists for T&O teams, with automatic location updates, integrated lab results (Hb, CRP, antibiotics, G&S date), and summary/to-do functionality for handovers. This re-audit assessed the impact of the intervention.
